Matthews Real Estate Investment Services, Inc. (the “Company”) is a leading commercial real estate brokerage and investment services company, renowned for our commitment to excellence and integrity in our transactions. With a strong focus on delivering exceptional client service, we are expanding our team to include a Director of Transactions role. The Director of Transactions will play a crucial role in overseeing our Transactions Department and ensuring the smooth operation of all transaction-related processes.

The Director of Transactions will be responsible for managing the Company’s Transactions Department, which handles contract and compliance review, broker of record approvals, and the timely processing of all transaction-related contracts and other documents. The Transactions Department coordinates and manages the transfer of information and communication between agents, local management (Market Leaders), and brokers of record throughout the listing, escrow, due diligence, and closing processes of commercial real estate transactions.

The Director of Transactions will manage and supervise a team of Transaction Coordinators to support the sales agents in facilitating the efficient and compliant closing of all transactions. The Director of Transactions will regularly collaborate with team members outside of the Transactions Department, including working closely with the Legal Department, to improve processes and efficiencies across all necessary departments.

The ideal candidate for this role will be motivated and comfortable working in a fast-paced, high-energy environment with first-hand experience overseeing transactions/closings in real estate offices or escrow companies. This role will require a dynamic leader with extensive experience in commercial real estate transaction coordination, compliance review, and team management. Applicants should not only have a thorough understanding of commercial real estate practices and demonstrate a commitment to operational excellence, but should also have a coach’s mindset with a vision for the Transactions Department and each member of the team. The Director of Transactions will be expected to coach each team member, to develop and hone each team member’s skills and acumen, and foster a culture of excellence in the Department.

Key Responsibilities:

Leadership and Management:

  • Create and implement a vision for the Transactions Department focused on fostering and developing leadership skills and growth opportunities for team members
  • Coach, manage, and supervise a growing team of transaction coordinators, providing guidance, support, mentorship, and training to team members
  • Foster a collaborative and high-performance culture within the team and among different departments
  • Conduct regular performance evaluations and implement professional development initiatives
  • Manage or execute special projects, as assigned

Transaction Oversight:

  • Manage, review, and approve a large volume of all types of transaction-related contracts, documents, and inquiries
  • Coordinate with sales agents, office managers, Brokers of Record, and other departments to ensure the seamless and timely execution and management of multiple transaction related documents
  • Draft purchase and sale agreements, amend contracts, and author commission instruction letters for payment of commission to escrow agents
  • Develop critical dates timelines
  • Provide high level of customer service to client(s) and vendors
  • Oversee and assist with Broker or Record licensing and continuing state education requirements
  • Oversee Transaction Department document management and other office administrator responsibilities

Compliance and Risk Management

  • Adhere to all state real estate agency requirements
  • Provide suggestions and best practices for process and technical improvements relating to the transaction process

Strategic Collaboration:

  • Work in conjunction with the Transaction team, and Brokers of Record in each state to ensure all documents and transactions comply with applicable laws and requirements
  • Work closely with Finance and Legal departments
  • Work closely with Finance and Tech to design and maintain streamlined Compliance System in Salesforce
  • Maintain relationships and effectively coordinate with multiple points of contact
  • Maintain cross-functional relationships between sales, research, and marketing teams

Requirements:

Minimum Requirements:

  • Bachelor’s Degree in real estate, business administration, legal- or finance-related fields, or comparable fields
  • 10+ years of experience in real estate transaction coordination
  • 10+ years in management with demonstrated experience in supervising, training, and managing a team
  • 5+ years in compliance-related roles

Preferred Requirements:

  • Experience as a licensed real estate broker a plus, but not required
  • Familiar with Salesforce (or other CRM) and AIR forms
  • Professional work ethic and integrity
  • Excellent written and verbal communication skills
  • Highly organized and attentive to detail
  • Experienced with Microsoft Office Suite with an emphasis in Excel
  • Comfortable with concepts of intermediate math
  • Logical and confident making decisions in a time-pressured environment
